How Contacts sync with Intuit Practice Management

In Intuit Practice Management powered by Karbon a contact may or may not sync to the program that it is connected to. The syncing will depend on where it's first created and the contact sync settings that are chosen. To learn how contacts are created in Lacerte, ProConnect, and QuickBooks Online Account expand its section below.

When a contact is created in Intuit Practice Management, it'll sync to the connected program if the Contact Type chosen is checked off to sync. To see if a created contact will sync to the connected program:

  1. In Intuit Practice Management select the connected programs settings Lacerte, ProConnect Tax, Intuit Platform on the left.
  2. Edit the Contact Sync Settings.
  3. Check to see what contact types are checked off in the Sync Contacts of Type list and if needed, choose which type of contact to sync or not by checking or unchecking the type in the list. If changes are made, select Save before browsing away from the page.
  4. Next go to Contacts.
  5. Select the contact to open it and go to the Details tab.
  6. In the Details tab check to see if the Contact Type is a type that will sync, if it is then the contact will sync to the connected program. If the Contact Type needs to be updated so it'll sync, select Edit in the upper right and change the Contact Type to the appropriate one. If changes are made, select Save before browsing away from Basic Details.

In Lacerte the Add Client box will pop-up to allow the contact to be added to the tax program.

  • If the contact that was created in Intuit Practice Management is created as:
    • People - The contact will be able to be added to Lacerte in the Individual or Estate tax module.
    • Organizations - The contact will be able to be added to Lacerte in one of these tax modules Corporate, S-Corp, Partnership, Fiduciary, Exempt Org or Benefit.
    • The tax Work item will be automatically generated and connected to the tax return once the contact is added to Lacerte via the Add Client box.
  • If the contact that was created in Intuit Practice Management is created as:
    • People - The contact will be add to ProConnect Tax as an Individual client.
    • Organizations - The contact will be add to ProConnect Tax as a Business client.
    • The tax Work item in Intuit Practice Management will be automatically generated and connected once the tax return is created in ProConnect Tax.

If a contact is created in ProConnect Tax it will sync to Intuit Practice Management as:

  • Contact Type of Client unless this is changed in the ProConnect Tax setting in Intuit Practice Management.
  • Individual clients will be created as People.
  • Business clients will be created as an Organizations.
  • Once the tax return is created the Work item will automatically be generated and linked to the tax return.

If a contact is created in Lacerte it will sync to Intuit Practice Management if:

  • In TY21, the basic required information has changed for Lacerte:
    • When a contact is added, Lacerte will look to see if there are missing names and whether or not all clients were synced or select clients were selected to synced.
    • If all clients were selected to sync, and there are no missing names, the contact will sync over to Intuit Practice Management.
    • If select clients were selected when setting up the sync in Lacerte, it will be necessary to go to the Integrations tab each time - select the client in the Unsynced Clients tab, click Next and Begin Sync to sync to Intuit Practice Management.
  • In TY19 and TY20, when basic required information is entered:
    • Individual clients: Taxpayer First Name, Taxpayer Last Name, and Taxpayer Social Security Number.
    • Business clients: Firm Name and Federal Identification Number
  • The contact will come in as a Contact Type of Client unless the Lacerte setting has been changed in Intuit Practice Management.
  • Individual clients will be created as People.
  • Business clients will be created as an Organizations.
  • The tax Work item will automatically be generated and linked to the tax return.
  • If the contact is created in QuickBooks Online it will sync to Intuit Practice Management as a Contact Type of Client.
  • Individual clients will be created as People.
  • Business clients will be created as an Organizations.
  • Clients created under Sales>Customers>New Customer that have a Company name entered when created will be created as an Organizations.

Note: Syncing is not immediate and does take some time.
