ProSystem FX backup instructions for data conversion

Before you start:

  • Calculate all client files in your original program.
  • Remove any locks.
  • Remove any passwords
  • Individual (1040)
  • Fiduciary (1041)
  • Partnership (1065)
  • Corporation (1120)
  • S-Corporation (1120S)
  1. Create a new folder on your C: drive named ConversionData before you begin the backup process (e.g., C:\ConversionData).
  2. Open the folder ProSystem FX Tax on the desktop and double-click Production Processing.
  3. Click the Calculate Returns button, then close Production Processing when it finishes.
  4. In the same folder, open Office Manager.
  5. Click Backup Client Data.
  6. In the Create Client List dialog box, select All Clients, then click the OK button.
  7. In the Select Clients for Backup window, click the clients you want, then click the Add button, click Add All to select all clients.
  8. Click Select Drive.
  9. In the Select Destination Drive / Directory for Backup dialog box, set the destination to C:\ConversionData.
  10. Click the OK button.
  11. Next, open the ProSystem FX installation folder (usually C:\WFX32). If you cannot locate that folder or are unsure of your installation path, open the folder ProSystem FX Tax on the desktop, right-click on 2021 Tax Preparation and choose Open file location.
  12. In that folder, find the file TDExport (or TXExport.exe) right-click and select Run as Administrator.
  13. In the Select Returns for Export window, you may choose filters for the clients to display or leave every option set to All, then click the OK button.
  14. Next, select the clients you want to convert and use Add or use Add All to move all clients to the list, then click the OK button.
  15. In the Export Data window: Check the boxes for Interview form data and Calculated data.
  16. Enter the File Name as conversion.exp
  17. Enter '0000' in the code box.
  18. Enter the path created in step 1: C:\ConversionData
  19. Press Enter, then click the OK button to begin exporting data.
  20. Next, In the ProSystem FX installation folder (usually C:\WFX32 as in step 11), find the subfolder named client and open it.
  21. Select all items under C:\WFX32client folder by pressing Ctrl+A. Right-click on the selection and choose Copy.
  22. Navigate back to C:\ConversionData folder, right-click on an empty spot and choose Paste.
  1. Click the OK button.
  2. Open the installation folder found in step 11 of the instructions above
  3. In that folder, open the tmp folder (default is C:WFX32tmp).
  4. Locate the file with an extension of .exp (for example: $$$3d6c.exp).
  5. Right-click on that file and choose Copy.
  6. Navigate back to the C:ConversionData folder, right-click in an empty spot and choose Paste.

This alternate process causes a delay in processing, so we recommend using the original process if possible as it is faster. In some cases it is not possible to create the conversion.exp file that is needed for data conversion. For example, if you received data obtained from a CCH Axcess backup, or if the TDExport.exe will not work, or does not produce the correct file. It is also recommended to use this method in case you have hundreds of returns that are locked and it would be time-prohibitive to unlock them all. After uploading the data, you will receive an email indicating your conversion failed - but don't worry. Data conversion will reprocess these files and you will receive a second email when it is finished.

  1. Create a new folder on your C: drive named ConversionData before you begin the backup process (e.g., C:ConversionData).
  2. Open the folder ProSystem fx Tax on the desktop open the Office Manager program.
  3. Click on Backup Client Data.
  4. In the Create Client List dialog box, select All Clients, then click the OK button.
  5. In the Select Clients for Backup window, click the clients you want, then click Add or click Add All to select all clients.
  6. Click on Select Drive.
  7. In the Select Destination Drive / Directory for Backup dialog box, set the destination to C:ConversionData.
  8. Click on the OK button.
  9. Browse to the C:ConversionData folder.
  10. Right-click in an empty space and choose New Text Document.
  11. Double-click the New Text Document to open it.
  12. From the File menu choose Save As.
  13. Change the filename to conversion.exp and click the Save button.
  14. Close the file.
  15. Next, In the ProSystem FX installation folder (usually C:WFX32), find the subfolder named client and open it.
  16. Select all items under C:WFX32client folder by pressing Ctrl+A. Right-click on the selection and choose Copy.
  17. Navigate back to C:ConversionData folder, right-click on an empty spot and choose Paste.

Open C:\ConversionData to view the files and folders that have been backed up. For data conversion to be successful the following files and folders must be present:

  • One conversion.exp file.
  • One CLNTBKUP.001 file.
  • One file that ends in .zip for each client.
  • One folder for each tax type being converted. The folders will be named:
    • 21I if Individual returns are being submitted. If you open this folder there will be a file for each client ending with .U9i
    • 21S if S-Corporation returns are being submitted. If you open this folder there will be a file for each client ending with .U9s
    • 21C if Corporation returns are being submitted. If you open this folder there will be a file for each client ending with .U9c
    • 21F if Fiduciary returns are being submitted. If you open this folder there will be a file for each client ending with .U9f
    • 21P if Partnership returns are being submitted. If you open this folder there will be a file for each client ending with .U9p

What items will be converted?

The main purpose of this conversion is to get your data ready for the following tax year. Therefore, viewing a Form 1040 will not display the same results that had been filed. The conversion is very limited and includes only the basic information in the following PDF document.
