What password options are available?

ProSeries Professional and ProSeries Basic have multiple password options available to you to protect your clients data.

  • Manage Users is enabled on ProSeries automatically beginning in tax year 2016. Manage Users requires a user name and password to open the program and cannot be disabled.
  • Client Level Passwords allow you to protect specific tax returns with customized passwords.
  • Electronic Filing Passwords can be enabled to require a password to be entered at the time of e-file transmission.
  • Master Password is required to be setup when using Client Level or Electronic Filing Passwords. This should be setup by the firm owner in order to reset forgotten Client Level and Electronic Filing passwords.
  • Access Rights, available in ProSeries Professional only, in tax year 2018 and prior allows the firm owner to setup additional user name and passwords for additional preparers and limit specific program access. For tax year 2019 access rights have been combined with your Manage Users login. Please click here for details on Access Rights changes for tax year 2019.

If you use Access Rights you will not be able to complete a Master Password setup. Anyone with Administrator access will have access to any password-protected return.

  1. Open ProSeries. If you're on a network be sure you are on the Admin Computer.
  2. From the Tools menu choose Options.
  3. From the left side of the screen choose Passwords.
  4. If you haven't setup a Master Password you'll be able to enter a new Master Password on the Enter new master password field.

If you are not using Access Rights you will need to setup a Master Password before you can setup an Electronic Filing Password.

  1. From the Tools menu choose Options.
  2. From the left side of the screen choose Passwords.
  3. Check the box for ProSeries should always prompt for the electronic filing password when transmitting tax returns.
  4. If you haven't set an Electronic Filing Password before you'll be able to enter a new Electronic Filing Password on the Enter new Electronic Filing password field.

If you are not using Access Rights make sure you have setup a Master Password before trying to setup a Client Level Password.

  1. Open ProSeries.
  2. Open the client file you would like to add a password to.
  3. From the Tools menu select Add/Change Client Password.
  4. Enter a password for the return.
  5. Confirm the password and click OK.
  6. From the File menu choose Save Client.

If you later decide to remove the password:

  1. Open ProSeries.
  2. Open the client file you would like to remove the password from.
  3. From the Tools menu select Add/Change Client Password.
  4. Delete the *** values from both password fields.
  5. Click OK.
  6. From the File menu choose Save Client.

If you ever forget a Client Level Password the Master Password (or Administrator User for Access Rights) can open the return.
