Please add an ability to modify Client Letters: add notes, content, extra default paragraphs for clients (similar to Lacerte and CCH Profx). Current situation is if we want to add any message for clients, we have to prepare a separate Client Letter and then attach it to pdf file.

Workarounds such as:

- maintaining a sample Client Letter requires updating refund/tax due numbers for each return, which is extremely inconvenient. 
- editing in pdf itself does not work either due to unique PTO font used, so I have to manually retype PTO letters.

Ability to modify Client Letters would save A LOT OF TIME spent in assembling final tax return pdf files.

AGREE!  I logged in specifically to make this suggestion.  I hadn't thought about attaching a pdf.  I sent a separate email which can be confusing for the cleint, and me. 😐

Simple edits to the client letter template such as:

  • Instructions on how to check the status of a refund
  • How many years to keep records
  • Instructions for mailing or paying online if the client has a balance due (both Fed and state)

We would love to have a way to edit the cover letter, especially with amended returns.  The letters do not print correctly on amended returns for our state and we have to cross out the sections that don't apply and hand write (or use Adobe to edit) the correct amount/instructions.  Also for IRA contributions, we get many calls from clients that say "I already made my IRA contributions why are you telling me to do it again?"

The language in the ProConnect client letters is so poorly written and inappropriate, I delete them before sending to clients.  For example, why tell your very own client to distribute their K-1 to themselves....if you are preparing their tax return?

Instead, I use standard email templates with proper instructions.

Absolutely agree.  Also being able to make the invoice part of the document package or being able to generate it like the 8879 and the return itself and send it to link as opposed to having to create, save and then upload the invoice would be great.

This was first posted over a year ago and has been under review for eight months?!?       The wording also needs to be updated to reflect IRS rulings and to cover the tax preparer companies who prepare a return from client information.

Agree.  This is a very important tool to properly communicate with your clients.  It is a must have.

My Impression is that PTO does not really listen- There a suggested quick work around- Get Kofax Power pdf ( much cheaper than Adobe) - quickly convert any pdf letter, doc form into Word or Excel- add what ever special paragraphs you want then save back to pdf Who has time for PTO to actually make changes- Quck Work-arounds easier

Or we can turn on or turn off part of the letter. For example, we can turn off the following message:

"The contribution to your traditional IRA for 2022 is $6,000. To ensure that your contribution is allowable, $6,000 must be deposited to your account on or before April 18, 2023"

Looks like this is an easy implementation by a few checkboxes.

  • Ability to create more placeholder variables like [client name], [firm name] as used in Email Invite or added to the Engagement Letter if the message states "...for working with [tax professional] this tax season of [tax year]. 
  • This would allow any email "subject line" text to add the (A) [firm-name], [client name] and (B) [tax-year], especially valuable when multiple corporations are being process for the same client email address.
  • Likewise the signature line should include variables for the tax professional setup detail like a [tax pro phone] and [tax pro email], so there is no confusion with a practice that has many tax professionals using the same proconnect tool.
  • Cuirrently proconnect works logically with respect to client correspondence as if there is only One Tax Professional and not multiples doing tax returns for the FIRM...   Setup allows multiple Tax Pro's but it is not supported with respect to correspondence. 
  • Any correspondence with client should be flexible, too limited with above variables/placeholder that get swapped with real text.
  • Invite Letter if you have multiple people e.g. [tax professional] representing the person doing the taxes opposed to always making Invite email represent the proconnect administrator's name in the FROM and SIGNATURE portions of the email.  Also [client name] took the client's formal first name of "Joseph" and swapped it to "Joe" (this could be insulting in some circumstances "Richard" swapped to "Dick", where "Rich" or "Richie" would be an appropriate abbreviated first name)
  • Tax Professional Setup needs a feature which allows Clients & Tax Returns that are mapped to the one tax professional to be hidden from other tax professional ,  Permission to See clients granted to "checkbox" list of tax professional , of course the admin can override this with an option that allows them to SEE ALL

So, the status of this was updated to "accepted" over a year ago.  I've been using PTO/ITO since 2010 and have been asking for this and global settings ever since.  This should not be a feature omitted to justify charging less than Lacerte.  I used Lacerte from 1992 until I switched to ITO and it was a feature for years prior to my switch.  This is NOT a convenience, this is a way to advise your client of important info and reminders and a CYA if they later say you didn't tell them something. "Yes, I did,  It's right in the cover letter of your tax returns".  There are less-expensive programs than PTO that have this feature, so what is the hold up?
