Using organizers in ProSeries Professional

This article will help you:

  • Generate an organizer from scratch, or starting with last years data
  • Print the organizer to paper or PDF
  • Choosing which organizer is best for your client's tax situation
  • Transfer a completed organizer to a 1040

The organizer is not available in ProSeries Basic.

There are three ways to create a client organizer in ProSeries. You can create a new Client Organizer, transfer the information into a client organizer from a prior year Form 1040 return, or transfer client data files that were converted from another tax software solution.

Follow these steps to create a new client organizer:

  1. Open ProSeries to Organizer for 1040 HomeBase view.
  2. From the File menu, choose New Client.
  3. From the Select Type window, highlight 2023 Client Organizer.
  4. Click OK.
  5. Now you can enter all your client data in the new, blank client organizer.

Follow these steps to transfer information from a prior year Form 1040 into a client organizer:

  1. Go to the HomeBase.
  2. From the File menu, select Transfer and choose Transfer Clients.
  3. Change Box 1 to 2022 Form 1040 to 2023 Organizer
  4. Select the client files you want to create a client organizer for.
  5. Click Transfer.
  6. Change the HomeBase View to Organizer for 1040.
  7. Open the organizer return for editing and printing.

Follow these steps to transfer data files converted from another software:

  1. Open ProSeries on the computer that downloaded the converted client files.
  2. From the HomeBase View, click the dropdown box and select Organizer for 1040.
  3. Click Yes when prompted to transfer last year's client files.
  4. On the Transfer Clients screen, in field 1 select 2022 Form 1040 to 2023 Organizer.
  5. In field 2, click the Browse button for Option 2 and browse to the location of C:\ProWinYY\CompConversions\Transferred and click OK.
    • YY represents the two-digit tax year. For example, C:\ProWin23\CompConversions\Transferred.
  6. Field 3 should remain the same. For field 4, choose either the Select All button or left-click the mouse while pressing the Ctrl key to select the specific client file(s) to create a client organizer.
  7. Click Transfer in field 5.
  8. After the transfer is complete, the client files selected in step 6 should automatically appear in the HomeBase View for Organizer for 1040.
  9. Open the organizer return for editing and print when ready.
  • The Full Organizer can be up to 60 pages depending on what the taxpayer's tax situation needs. All data entry is done on the Full Organizer forms and will flow to the Short Organizer if you choose to print that instead.
  • The Short Organizer is a four-page form that is a condensed version of the Full Organizer. It is designed to include the most common taxpayer information and can be used for clients with less complicated returns.

Both organizers are available as forms once you open a client's return from the Organizer for 1040 HomeBase View.

Follow these steps to print the Full Organizer or Short Organizer for the client:

  1. Open the organizer for the client that is to be printed.
  2. From the File menu, select Print.
  3. Under Print To: choose either Printer or File (PDF).
  4. Check the box labeled Print Full Organizer Client Copy or Print Short Organizer Client Copy.
  5. Set the desired number of copies to print.
  6. Click the Print button.

Follow these steps to print only a portion of the full organizer for a client:

  1. Open the client's organizer file.
  2. From the File menu, select Print.
  3. From the left side of the screen, choose Print Selected Forms.
  4. Under Print To: choose either Printer or File (PDF).
  5. Under Print Selected Forms click on the Choose button.
  6. Select the forms you want to print by holding down the Ctrl key and clicking on the form name.
  7. Click OK to continue.
  8. Click the Print button.

Follow these steps to batch print organizers for multiple clients at once:

  1. Set your HomeBase View to Organizer for 1040.
  2. Highlight the clients that you want to print organizer for.
    • Hold down the Ctrl key to choose multiple files.
  3. From the File menu, select Print.
  4. In the Entire File section, select Print Short Organizer Client Copy or Print Full Organizer Client Copy.
  5. Select the number of copies you want of each client's organizer.
  6. Click the Print button.
  1. Open the Organizer for 1040 HomeBase view.
  2. From the File menu, select Transfer and choose Transfer Clients.
  3. From the Select the type of files to transfer list, select 2023 Organizer to 2023 Form 1040.
  4. Select the client files you want to transfer.
    • To select all the listed files, click the Select All button.
    • To select several client files that are in consecutive order, click the first client file you want, then hold down the Shift key while you click on the last client file you want.
    • To select several client files that aren't in consecutive order, hold down the Ctrl key while you click each client file you want.
  5. Click the Transfer button.
  6. When the transfer procedure concludes, review the Transfer Log that appears.
  7. Review the information that was transferred to the Form 1040.
