How to resolve a DMS DBISAM error when opening DMS or updating the DMS database

SOLVEDby IntuitUpdated October 13, 2023

This article explains what to do if the following errors are triggered:

  • DMS DBISAM Engine Error ????? - Unable to Initialize Database
  • DMS DBISAM Engine Error ????? - Access denied to table or backup file

These errors trigger when:

  • The Document Management System (DMS) program fails to open
  • While updating the DMS folder templates and trying to import a client or file

How to resolve the errors

These errors may occur if your anti-virus program isn't configured to exclude the DMS program and database folder.

  • Contact your anti-virus vendor for instructions on how to configure real-time scanning to exclude the following file locations:
    • C:\Users\users name\AppData\Local\Temp\DMSTemp
    • C:\Program Files(x86)\Intuit\DMS
    • DMS database location

After excluding the folders above, try the operation again. If the error persists, follow the outlined steps, below.

  • After each set of steps, retry the original operation and see if the error is triggered.

It's best to have a network administrator implement these steps as the process can cause damage and/or security risks.

  1. Browse to the folder where your DMS database is located.
  2. Right-click on the folder and select Properties.
  3. While on the General tab, unmark the box for Read-only and click Apply.
  4. Choose to do this for all files and subfolders when prompted.
  5. In the DMS Folder Properties window, click the Sharing tab.
  6. Click the Share... button.
  7. Click the Advanced Sharing... button.
  8. In the pop-up window, select the Share this folder box.
  9. Click Permissions.
  10. In the Share Permissions section, select Everyone.
  11. In the Permissions for Everyone section, select Allow next to the Full Control option and click Apply.
  12. Back in the DMS Folder Properties, select the Security tab.
  13. In the Group or user names: section, verify that EVERYONE is selected.
  14. Verify that Full Control is checked under the Allow options.
  15. Select Advanced at the bottom.
  16. Select the Everyone group and click the box, Replace all child object permission entries with inheritable permission entries from this object
  17. Click Apply and Ok.
  18. Try the original operation again and see if the error is triggered.

If all the user permissions look correct, follow these steps to reset the database permissions.

  1. Go to the machine where the database resides.
  2. Copy the database folder to the Shared Documents folder in C:Users\Public\Public Documents.
  3. Rename the original database folder by adding -old at the end.
  4. Copy the database folder in the Shared Documents folder back to the original path.
  5. Try the original operation again and see if the error is triggered.
  1. Verify DMS is closed, then press the Windows key + R.
    1. In the search box, enter %temp% and click OK to open the Temp files folder.
    2. Find DMSTemp and open it.
    3. Delete all files in this directory.
  2. To make sure the network drive is mapped the same on all workstations.
  3. Try the original operation again and see if the error is triggered.
